Event Asisstant

What do you do?

From proposal to final placement, you help the team turn intent into immaculate reality. As Event Assistant, you bridge studio, office, and site: preparing with foresight, executing with care, and supporting quotes and proposals so we win, deliver, and learn. Beautifully and on time.

  • Studio & Office

    • Prepare packing lists, tools, and materials; stage components for safe transport.

    • Support quotes and proposals: gather supplier prices, draft simple budgets/BoQs, assemble image references and slides, update rate cards and templates.

    • Maintain tidy documentation: checklists, calendars, contact sheets, permits, and venue guidelines.

    • Assist basic procurement (POs, samples), courier bookings, and inventory returns.

    On-Site Execution

    • Support build, styling, and strike to brief and timeline; protect venues and finishes.

    • Manage loading/unloading, safe handling, and work-zone order; track items in/out.

    • Keep flower care standards (conditioning, water levels, temperature, transport).

    • Communicate clearly with the team; offer calm, practical solutions when plans evolve.

    Business Development & Aftercare

    • Help prepare proposal decks and follow-up emails; organise references and case studies.

    • Log enquiries, notes, and next steps in the CRM; maintain the opportunities pipeline.

    • Capture quick photo notes on site and compile simple post-event recaps (what worked / improvements).

    • Operational discipline — organised, fast, and attentive to detail; tidy hands, tidy mind.

    • Commercial awareness — comfortable with basic costing, comparing quotes, and structuring a simple BoQ.

    • Presentation & writing — clear, polished slides and emails; good visual judgement for references.

    • Tools — Digital savvy and comfortable working with or learning about a variety of software programs (ODOO/Pitch/…)

    • Craft awareness — exposure to floristry or events is welcome; confident with safe ladder use and basic tools.

    • Languages — English required; Arabic a plus.

    • Mobility — driver’s licence preferred.

    • Base: Riyadh HQ (office/studio) with frequent venue work (hotels, palaces, corporate sites).

    • Hours: project-driven; office days for proposals/prep, event days with early starts/late finishes/weekends as needed.

    • Contract: full-time; right-to-work in KSA required (transferable Iqama preferred).

    • Physical: lifting/carrying, standing for extended periods, occasional cold-room work; safe work at height.

    • Standards: uniform & grooming, discretion/NDAs, venue inductions, and HSE compliance.

    • Progression: clear pathways toward Event Coordinator/Producer, Project Management, or Business Development/Accounts, with training on brand standards, floristry fundamentals, and budgeting.
